Privacy Policy
1. Introduction & Data Controller
Welcome to New Chapters Therapy Space. This privacy policy explains how we collect, use, and protect your personal information when you visit and use our website: newchapterstherapyspace.co.uk.
The Data Controller for this website is Imogen Robinson, operating as New Chapters Therapy Space. We are fully registered with the Information Commissioner’s Office (ICO) under registration number ZC203453 and operate in strict accordance with UK GDPR and Data Protection laws.
2. Information We Collect
We collect information in two main ways when you use this website:
• Information You Provide Voluntarily: When you fill out our contact form to enquire about therapy, we collect your Name, Email Address, Phone Number, and any brief clinical details or messages you choose to share with us.
• Information Collected Automatically: Like most websites, we collect basic, non-identifying "Device Information" via cookies. This includes your web browser type, approximate location/time zone, anonymised IP address, and how you navigate our pages. This helps us ensure our website works correctly.
3. Our Legal Basis for Processing Data
Under UK GDPR, we must have a lawful basis to handle your data.
• For general browsing: We rely on our Legitimate Interests to maintain a secure, functional website.
• For contact form enquiries: We process your details to take steps at your request prior to entering into a therapy contract.
• Special Category Data: Because you may mention health or mental health details in a contact form, we process this under Article 9 of the GDPR, ensuring it is treated with the highest level of clinical confidentiality.
4. How We Use and Protect Your Data
Your personal data is handled with the utmost security.
• Confidentiality: Your information is never sold, rented, or shared with third parties for marketing purposes.
• Security: We secure the information you provide via encrypted servers and secure, password-protected digital networks.
• The Limits of Confidentiality: We will only disclose your information without your consent if legally required to do so (such as under a court order, safeguarding emergency, or to comply with a legal process), or to protect your immediate vital safety or the safety of others.
5. Professional Supervision & Ethical Standards
As a registered member of the British Association for Counselling and Psychotherapy (BACP), I abide by their Ethical Framework.
To maintain professional standards, I engage in regular clinical supervision. While I may discuss general clinical themes from enquiries or ongoing work from time to time, I never disclose your name, identity, or any specific details that would enable you to be identified. My supervisor is bound by the exact same strict ethical criteria and confidentiality.
6. Data Retention (How Long We Keep It)
• If you do not start therapy: If you make an enquiry but do not proceed to book ongoing therapy, your contact form details and emails will be securely deleted after 6 months.
• If you begin therapy: Once ongoing work commences, your records will switch over to our full clinical contract. Brief confidential session notes and administrative records are stored securely in line with BACP guidelines for 7 years after our final session, after which they are permanently and securely destroyed.
